‍Data Collection
‍The vast majority of the information that we hold about you is provided to us by yourself when you seek to use our services or register for one of our events. We will tell you why we need the information and how we will use it.

‍Our Lawful Basis for processing your information
The General Data Protection Regulation (GDPR) requires all organisations that process personal data to have a Lawful Basis for doing so. The Lawful Bases identified in the GDPR are:

Performance of a contract with the data subject or to take steps to enter into a contract

We may share your personal data with: delivery partners, our business partners (including event sponsors and co-hosts, as set out in Events and Awards below), our subsidiaries, our legal advisors in the event of a dispute or other legal matter, law enforcement officials, government authorities, or other third parties to meet our legal obligations, in connection with, or during negotiations of, any merger, sale of company assets, consolidation or restructuring, financing, refinancing, or acquisition of some or all of our business by another company, any other party where we ask you and you consent to the sharing.We may share your personal data with potential clients on a speculative basis as by making your CV available to us (whether directly or via a job board for the express reason of employers being able to access this data) it is likely that your intention is to have Ellwood Atfield access your CV and share it with their clients or prospective clients. As such, the legitimate interest of Ellwood Atfield and their clients to fill vacancies would not be overridden by any interests of rights of yours. In fact, those legitimate are likely to align with your interests in circulating your CV in order to find a job.

‍Events and Awards
‍From time to time we run events, awards and similar activities, sometimes with sponsors, co-hosts or partner organisations. This section explains how we use your personal data if you register for, attend, enter or vote in one of them.

‍What we collect
Usually your name, email address, job title and organisation. Depending on the event, we may also ask for your phone number, details of any access or dietary needs, and any entries or votes you submit.

‍How we use it
We use your information to:
▪ Manage your registration and attendance, and send you event updates;
▪ Share a guest list with the venue for security and access;
▪ Run awards, competitions and voting;
▪ Follow up after the event, for example with photos, results or feedback requests;
▪ Let you know about future events, where the law allows or where you have agreed. You can opt out at any time.

‍Our Lawful Basis
We rely on our legitimate interests in organising and running events. Where we ask about access or dietary needs, we only use that information to make arrangements for you on the day, and only with your consent.

‍Sharing with sponsors, co-hosts and partners
Where an event is run with or sponsored by another organisation, we will name them on the event page or registration form. We may share your name, job title, organisation and email address with them so they can help manage the event and its guest list. They may not use your details for their own marketing unless you have separately agreed to this. We may also use trusted suppliers, such as venues, registration platforms and photographers, who only act on our instructions.

‍Photography and filming
Our events may be photographed or filmed, and the images may appear on our website and social media. We will tell you beforehand. If you would prefer not to be photographed, please tell a member of our team.

‍How long we keep it
We keep event registration details for up to 12 months after the event, then delete them. We keep them longer only if you are also a client or candidate, or if you have agreed to hear about future events.

‍How Long We Keep Your Information
‍We retain your personal data while you remain a candidate, unless you ask us to delete it. For event registrations, see Events and Awards above. Our Data Retention Policy (copy available on request) details how long we hold data for and how we dispose of it when it no longer needs to be held. We will delete or anonymise your information at your request unless:

There is an unresolved issue, such as claim or dispute;
We are legally required to; or
There are overriding legitimate business interests, including but not limited to fraud prevention and protecting customers' safety and security.

‍Your Rights
‍The General Data Protection Regulation gives you specific rights around your personal data. For example, you have to be informed about the information we hold and what we use it for, you can ask for a copy of the personal information we hold about you, you can ask us to correct any inaccuracies with the personal data we hold, you can ask us to stop sending you direct mail, or emails, or in some circumstances ask us to stop processing your details. Finally, if we do something irregular or improper with your personal data you can seek compensation for any distress you are caused or loss you have incurred.
